Introduction

Managing mid-to-short term rentals brings its own set of challenges. From dynamic pricing adjustments based on seasons to efficient tenant communication for lease extensions, property managers need tailored tools that go beyond the basics.

This was the case for Alice, who oversees multiple properties, each with distinct rental terms, seasonal pricing, and tenant preferences.

This case study explores how Haletale’s features were developed and customized to help Alice overcome these challenges, streamline operations, and even build an Airbnb-style marketplace for booking and managing properties directly.

Challenges Faced

Managing mid-to-short term rentals comes with a mix of unique needs:

  • Dynamic pricing flexibility. Rental prices vary by season, demand, and property type. Alice needed a flexible system to set different prices per month for each property, covering winter rates, summer rates, and shoulder season rates, while still calculating an average price for longer-term bookings.
  • Auto-extension notifications for tenants. Tenants needed to be notified before the end of their stay and asked whether they wanted to extend. At the same time, Alice did not want leases to auto-extend without tenant approval. The system had to automate notifications while leaving room to handle tenant responses flexibly.
  • Property listing privacy. Alice did not want to display full property details on public listings, particularly partial addresses. The request was to selectively show key information while keeping sensitive details private.
  • Custom marketplace for listings. Beyond listing on external platforms like Airbnb, Alice wanted to create an online marketplace where clients could browse, book, and pay for rentals directly.

Solution: Haletale’s Tailored Features

To address these needs, Haletale developed specific features designed to streamline the management of mid-to-short term rentals.

Dynamic Pricing for Seasonal Rentals

Alice wanted to adjust pricing by season. Their St. Catharines property, for example, rents for $2,600 per month in winter, $8,500 per month in summer, and $7,500 in the shoulder months. The challenge was calculating an average price when a tenant books multiple months across these varying rates.

Haletale’s dynamic pricing feature lets property managers set monthly pricing for each listing based on seasons or custom date ranges. For this specific need:

  • Property types can be selected, such as co-living or entire home.
  • Additional fees like cleaning, parking, and security deposits can be added.
  • The system automatically calculates a monthly average rate for extended bookings. A multi-month booking spanning April through July, for instance, could be blended to roughly $5,940 per month based on the preset rates for those months.

This flexibility allows for more precise revenue management, helping Alice maximize income without manual adjustments.

Tenant Auto-Extension Notifications

Alice did not want to automatically extend tenant stays but still needed to keep tenants informed about renewal options near the end of their lease. Haletale built a custom notification system that sends reminders as a stay approaches its end:

  • Toggle control. Property managers can enable or disable auto-extension reminders.
  • Manual reminders. If auto-extension is disabled, managers can set custom reminders prompting tenants to decide whether they want to extend.
  • Optional auto-extension. If the tenant confirms, the system can automatically extend the stay when no further action is taken, adding a layer of convenience.

This ensures tenants receive timely communications while landlords keep control over renewals, with no auto-extensions happening by default.

Privacy Controls for Property Listings

Another key request was to display only partial information on public listings, mainly for privacy and security. Haletale’s listing controls let property managers show limited details, such as:

  • Partial addresses, for example “Main St., Toronto” rather than the full address.
  • Only selected property details, with sensitive information hidden until booking.

This gives Alice full control over what is publicly visible while still providing enough information for prospective tenants to make inquiries or bookings.

Custom Airbnb-Style Marketplace

Alice wanted to move beyond listing on external sites and create their own marketplace where clients could view and book properties directly, a key step in building the brand. Haletale introduced the ability to build a custom booking platform within the system:

  • Clients can browse available listings on a branded platform.
  • Full booking functionality is integrated, so tenants can pay online, view terms, and secure their stay directly through the marketplace.

This gave Alice control over listing presentation and the booking process, reducing dependency on third-party platforms and maximizing direct revenue.

Results: A Complete Solution for Mid-to-Short Term Rental Management

By leveraging Haletale’s customized features, Alice was able to streamline and optimize the management of their mid-to-short term rental portfolio. Managing this kind of portfolio takes a specific set of tools that go beyond traditional property management software, and Haletale provided a robust, all-in-one solution while letting Alice keep full control over their listings.

  • Dynamic pricing ensured seasonal rates were accounted for, and tenants received accurate pricing for extended stays.
  • Automated tenant notifications kept tenants informed about renewal options without relying on auto-extensions, while preserving the flexibility to set reminder preferences manually.
  • Private property listings let Alice showcase properties securely without revealing full addresses or sensitive information.
  • The custom Airbnb-style marketplace let Alice list properties on their own platform, reducing fees and building a direct booking experience for tenants.

What Has Changed Since: Haletale in 2026

The flexible-rental toolkit that Alice helped shape has kept developing. The four areas at the heart of this story, pricing, tenant communication, listing privacy, and the booking marketplace, have each been refined through ongoing releases. Here is how Haletale has built on the foundation behind this case study.

More Flexible Pricing and Rental Terms

Haletale has continued to sharpen how flexible terms are set and shown. The daily rate feature now reads as Per Night for clearer short-stay pricing, a Renewal Period field was added to the Edit Property section, and the pricing modal in the application flow was redesigned for an easier setup. These touches make it simpler to manage the kind of season-by-season and stay-by-stay pricing that Alice depends on.

Smarter Renewal and Tenant Communication

The renewal reminders that solved Alice’s auto-extension challenge have grown more capable. Haletale added dedicated rent increase reminder settings and automated the logic behind them, including smarter calculation of the next increase date for tenants who move in mid-month. Recurring invoice changes now flow through to the rent amount automatically, and a tenant’s name links straight to their contact profile, which keeps communication quick when a renewal decision is due.

Clearer Listing Presentation and Privacy

The listing controls that let Alice protect property details have been refined alongside the rest of the application experience. Listings now use the clearer Entire Place wording, the application flow gained dedicated Cancellation Policy and Rules sections, and customized utility names such as Heat and Water now display correctly on the listing page. Together these give prospective tenants the right information up front while keeping sensitive details controlled.

A Stronger Booking and Marketplace Experience

The branded marketplace that reduced Alice’s reliance on third-party platforms now offers a smoother path from browse to booking. The renter application process was enhanced end to end, with a noticeably better mobile experience across the flow, so guests can book comfortably from a phone. Global search makes a growing set of listings easy to navigate, and the application table now surfaces Moving Soon and Moving Out Soon counts with CSV and PDF export, which is exactly the kind of turnover visibility a short-term operator needs.

Conclusion

Managing mid-to-short term rentals requires tools built for the realities of seasonal pricing, frequent turnover, and direct booking. With Haletale, Alice was able to address dynamic pricing, tenant communication, listing privacy, and marketplace creation, all while keeping full control over their listings.

By developing these features, Haletale delivered an all-in-one solution that empowered Alice to run a more efficient, flexible, and profitable operation. And as the platform keeps evolving, the flexibility that made it the right fit at the start continues to deepen.
